This privacy policy sets out how Coventry Golf Club uses and protects any information that you give to the Club when you use its website or when you are involved with the Club as a member or customer.

We are committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using the website or when communicating with us by email, post or text message, then it will only be used in accordance with this privacy statement.

What personal information do we collect?

When you join as a member, we collect from you the information needed to enable us to comply with our general legal obligations and with our contractual obligations to you, which include sending notices of general meetings, subscription renewals and the administration of competitions.

If you are a customer making a booking for an event at the Club, we collect from you the information required for us to understand your needs and to enable us to fulfil our contractual obligations to you.

If you make a payment to us by credit or debit card, your card details are only used by us if you provide the details by telephone and these are shredded once the payment has been processed. We use First Data to process card payments. CCTV images are collected for the security of the premises and all users of the premises.

How do we use your information?

When you join as a member or enter a society or Open event, we may share your information with external and internal data processors such as Intelligent Golf (which hosts our website). SSL certificates encrypt all data between our browser and the intelligentgolf website.  To the extent necessary for competition administration, we may also share your information with the Club’s head professional and his staff operating through Martin Sutliff Golf Limited. The contract between us requires Martin Sutliff Golf Limited and its staff to comply with the Club’s Privacy Policy and data protection procedures.

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect from you.

Marketing

If you are a member, we may periodically deliver Club newsletters, announcements and information about events and offers to members via the email address you have provided, but only with your prior consent. If you have given your consent, you can opt out at any time.

If you are a customer, we may wish to contact you with information about our services and offers in the future, but we will only do this with your prior consent. If you have given your consent, you can opt out at any time.

We do not pass your contact details on to external marketing companies.

What are your rights?

You are entitled to ask for a copy of the information we hold about you.

If you believe that any information we are holding on you is incorrect or incomplete, you may ask for this to be rectified.

You may have the right to restrict or object to our using your personal information.

You may ask us to delete your personal information in certain situations.

The Club’s website uses a cookie control system allowing the user on their first visit to the website to allow or disallow the use of cookies on their computer/device. PHPSESSID               This is the cookie set by the website to track your session information, so that we can log you in and perform a number of critical functions on the website, such as page preferences. ig_memberid             This cookie is set by the website to store your login userid information so that it is pre-filled in for you and you then only need to fill in your password. Google Analytics       We use Google Analytics to collect information about visitor behaviour on our website. Google Analytics stores information about what pages you visit, how long you are on the site, how you got onto the site and what you click on. This data is collected via a JavaScript tag in the pages of our website and is not tied to personally identifiable information. We therefore do not collect or store your personal information, such as your name or address, so this information cannot be used to identify who you are.
